    Organizations and membership

    Organizations provide company-level ownership, member management, billing context, and a home for organization-owned workspaces. They help knowledge and subscriptions remain with the organization instead of depending on one employee's personal account.

    Organization membership is not the same as workspace membership. The organization determines company-level responsibilities; each workspace continues to enforce its own access roles for content and settings.

    Organization roles

    Owner

    The Owner has full organization control and acts as an administrator. Ownership is protected: the Owner cannot simply be removed or leave without transferring the responsibility required by the current workflow.

    Admin

    An Admin can manage organization members, invitations, and settings. Released Pro-only features such as Hosted Zone management are available to organization Owners and Admins when the organization's tier permits them.

    Member

    A Member can view the organization context and use organization workspaces for which they have effective access. Members cannot perform organization management actions reserved for Owners and Admins.

    These roles are separate from workspace Owner, Collaborator, Contributor, Viewer, and Subscriber roles.

    Organization membership rules

    The released organization model allows a user to belong to one organization at a time. An organization requires a paid organization tier, and billing can depend on the number of members.

    Before accepting an organization invitation:

    • confirm that it is the organization you intend to join;
    • check whether you already belong to another organization;
    • review the assigned organization role;
    • review any subscription or billing choice shown during acceptance.

    The acceptance flow may offer to move a personal subscription to the free tier when joining an organization. Follow the current screen and verify the resulting subscription state; do not assume the change is automatic.

    Invite organization members

    Authorized organization administrators can manage invitations from the organization detail experience.

    1. Open Dashboard → Organizations and select the organization.
    2. Open the Members area.
    3. Choose Invite member.
    4. Enter the email address.
    5. Choose Member or Admin.
    6. Send the invitation.
    7. Confirm that it appears among pending invitations.

    Pending invitations include status and may show the inviter and expiry. The released implementation supports resending and revoking pending invitations. If email delivery fails after the record is created, the UI can show a warning while keeping the invitation pending.

    The invitee should review the organization name and role in dashboard notifications, then accept or dismiss the invitation from the intended account. Invitations expire, so an administrator may need to resend an old pending invitation.

    Manage organization members

    Owners and Admins can manage membership according to the controls exposed by the organization page. Typical operations include:

    • changing a Member to Admin or reducing an Admin to Member;
    • removing someone who no longer belongs to the organization;
    • reviewing pending invitations;
    • resending or revoking an invitation;
    • reviewing organization-owned workspaces and subscription state.

    Keep at least one accountable administrator. Owner protections and minimum-administration rules prevent an organization from being left without responsible management.

    Organization roles and workspace roles

    An organization can own workspaces, but organization membership should not be treated as blanket authoring access.

    For a workspace action, verify the effective workspace role:

    • workspace content creation and maintenance normally require Collaborator or Owner access;
    • workspace member and lifecycle management require workspace Owner authority, except that Collaborators may invite new members;
    • organization Owner/Admin status controls organization settings and organization-gated features;
    • public Subscriber access remains read-only even when the workspace is associated with an organization.

    When access seems inconsistent, inspect both the organization role and the workspace role instead of broadening either one immediately.

    Hosted Zones as an organization-gated feature

    Hosted Zones are a released Pro organization capability. Organization Owners and Admins can register and operate a zone and choose eligible hosted-zone placement while creating a workspace. Organization Members cannot manage zones.

    Placement does not change the workspace URL, visibility, or member-role model. It determines where the workspace's private data plane runs. This is an example of an organization-level control that does not replace workspace permissions.

    Safety and maintenance

    • Limit the Admin role to people who manage organization-wide settings or membership.
    • Review pending invitations before resending to avoid duplicates.
    • Remove former members promptly and review their integration credentials separately.
    • Keep organization billing contacts current.
    • Verify workspace roles after transferring or associating workspaces with an organization.
    • Never expose invitation IDs, billing details, keys, or private organization metadata in public fragments.

    Troubleshooting

    I cannot accept an organization invitation

    Confirm that the signed-in account matches the invitation and that you are not already a member of another organization. Ask an Admin to inspect whether the invitation is pending, expired, or revoked.

    I can view the organization but cannot manage it

    You may have the Member role. Organization management and Hosted Zone controls require Owner or Admin access, plus any applicable tier requirement.

    I am an organization Admin but cannot edit a workspace

    Organization administration and workspace authoring are separate. Ask a workspace Owner to confirm your workspace role.

    An invitation email failed

    Check whether a pending invitation was still created. If so, correct the delivery issue and use Resend instead of creating duplicates.
